Cityworks Making Fleet Maintenance Easier and More Efficient in St. John’s County, FL

County Realizes Cost Savings and Enterprise Advantages of this Flexible Solution

March 05, 2010 -- Sandy, UT — Fleet Maintenance is now easier and more efficient as a result of implementing Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions. The County has experienced significant cost savings by implementing Cityworks into Fleet Maintenance and are now reaping the benefits of having all divisions within the Public Works Department utilizing Cityworks as their single, unified solution.

Prior to using Cityworks, St. John’s County Fleet Maintenance was using a DOS-based application to track fleet activities and expenses. Because the remainder of the County’s Public Works Department was already using Cityworks and experiencing great results, when it came time to upgrade their outdated application, they recognized the benefit of using Cityworks. They were able to transition the Fleet Maintenance Division because of their previous experience in knowing Cityworks possessed the flexibility they needed. It was also the most economical choice as they were able to utilize their Cityworks Enterprise License Agreement (ELA) – a cost-effective Cityworks solution for municipalities of 100,000 or less.

Now Cityworks provides the Fleet Maintenance Division the means of creating and tracking work orders on over 1700 items of equipment ranging from lawn mowers to heavy equipment bulldozers owned by six different County agencies. From mechanics to office personnel, Fleet Maintenance staff attach County Vehicle (CV) numbers, repairs, and repair history to work orders. Work orders allow the division to track costs associated to CV numbers for billing the six County agencies for labor and materials used to install, repair, and maintain their equipment over a specified time period.

St. John’s Fleet Maintenance has experienced many positive results from their Cityworks implementation. The division now has a more efficient way of reporting performance measures. The County has experienced significant cost savings as all Public Works divisions are now using a single, unified system, a cost benefit for the County since they utilize the Cityworks ELA. In addition, the County realized cost savings in not having to upgrade their outdated application with a completely new system. The Public Works Department is also in the early stages of implementing Cityworks Server and Fleet Maintenance will begin using it at the beginning of the new fiscal year.

“The St. Johns County Public Works Department has benefited from using Cityworks as an asset maintenance management application for our transportation and stormwater assets,” states Rocky Agbunag, St. John’s County Public Works Asset Management Coordinator. “We were faced with a decision to either continue or upgrade the previous fleet management application. We knew Cityworks was flexible enough for this implementation; it was just a matter of being innovative to model Fleet’s workflow process. Our implementation went well and exceeded our expectations. I thought embracing the technology would be the biggest challenge of the implementation, but it became the easiest. We can definitely tailor the software to our needs and it offered a lot of flexibility.”

“St. John’s County has been consistently implementing Cityworks further and further into their organization to work for their various Public Works’ needs over the years,” states Brian Haslam, President of Azteca Systems. “Organizations that can utilize Cityworks across the board, like St. John’s has done, will no doubt reap the benefits and cost savings that only a unified system can provide. The Cityworks ELA is a great way for municipalities to do this. Our goal has been to provide a system that is flexible enough for users to adapt it to their individual needs throughout their organizations and I believe St. John’s is a great example of a client who has done just this.”
